Privacy Policy - IT Institute WhatsApp CRM Sync

This privacy policy explains what data the "IT Institute WhatsApp CRM Sync" browser extension ("the Extension") collects, how it is used, and how it is stored.

What data we collect

• Personal communications: Contact names, phone numbers, and message content visible on WhatsApp Web, which the user chooses to sync to their CRM.
• Personally identifiable information: Names and phone numbers of WhatsApp contacts, used to create lead records in the user's CRM.
• Authentication information: The username and password the user enters to sign in to their own CRM server. This is sent directly to the user's configured CRM server to obtain an access token; the password itself is never stored by the Extension.

How data is used

Data extracted from WhatsApp Web is sent only to the CRM server URL that the user configures within the Extension. The Extension does not send data to any Anthropic, Google, or third-party analytics or advertising service. The sole purpose of this data collection is to help institute staff organize WhatsApp business inquiries as CRM leads.

How data is stored

The Extension stores an authentication token, basic user/account info, and the configured CRM server URL locally in the browser's extension storage (chrome.storage.local). This data stays on the user's device and is not accessible to other websites or extensions.

Data sharing

We do not sell or transfer user data to third parties. Data collected by the Extension is transmitted only to the CRM server that the user themselves configures and controls.

Data retention and deletion

Users can clear all locally stored Extension data at any time by signing out from the Extension popup, or by removing the Extension from their browser. Data already synced to the user's own CRM server is retained according to that server's own data policy, which is controlled by the institute operating it.
